When you have more tasks than time, ask your assistant for a bounded plan—not a promise to do everything. This manual workflow helps a solo business owner choose a useful next step while keeping deadlines visible.

1. Supply the constraints

List your available minutes, tasks, deadlines, and any known time estimates. Use fictional or non-sensitive details for your first run. If a task depends on information you do not have, say so.

2. Copy the prompt

Create a prioritized plan using only the tasks I supply. Preserve deadlines. Total minutes must not exceed my available time. Flag missing facts. Do not send messages or change records.

3. Try this fictional input

Available time: 45 minutes. Tasks: draft a quote due tomorrow; outline a blog post for next week; archive notes. No task durations or quote requirements are supplied.

4. Compare with a reference plan

The quote comes first because it has the nearest stated deadline. One reasonable allocation is:

Total: 45 minutes. Defer the blog outline and archiving. These are proposed time boxes, not evidence that the quote can be completed in 45 minutes. If essential details are missing, use the block to prepare questions and a partial draft; do not send anything automatically.

5. Check the answer before using it

What if the answer fails?

Point out the exact problem and request a revision: “You scheduled 60 minutes, but I have 45. Revise the plan, keep the quote first, and explicitly defer the other tasks.” Check the revision again. A plausible answer is not automatically a correct one.

What this workflow does—and does not do

You paste this prompt into an assistant you already use and review its reply. It does not install software, connect a calendar, schedule tasks, or complete work unattended.
